Tasks by Facility

Tasks by Facility is not enabled by default. It must be manually added to the account by a developer or admin before it will have any effect.
What Is Tasks by Facility?
Tasks by Facility is a background enhancement that automatically tags monitored tasks and work items with the facility they belong to. Once enabled, whenever a task is created or updated, the system looks up the relevant facility from the associated record and links it — no manual entry required. This makes it possible to filter and report on tasks by facility.
How It Works
When a monitored task is saved, the system checks whether Tasks by Facility is enabled on the account. If it is, it automatically looks up the facility based on the type of record the task is linked to:
- Billing Claim — Uses the facility on the claim directly.
- Billing Charge — Uses the facility from the charge's parent claim.
- Payment — Traces back through the payment's charges to find the facility on the associated claim.
- ERA (Insurance Remittance) — Looks through the ERA's payments to find the first matching facility.
- Recoupment — Uses the facility from the associated claim.
- Statement — Looks through the statement's charges to find the first facility on a linked claim.
- Patient — Looks through the patient's claims to find the first facility.
What It Enables
With this feature on, every monitored task in the system gets a facility tag automatically. This allows staff and managers to filter work queues and reports by facility, making it easier to manage workloads across multiple locations.
Heads Up
- This feature runs entirely in the background — there is nothing for users to click or configure. It just works automatically once enabled.
- If a facility cannot be determined from the linked record, the task will simply have no facility tag — it will not cause an error.
- Existing tasks created before this feature was enabled will not be retroactively tagged unless they are updated.
Getting Access
This feature must be manually enabled on your account by a developer or admin. Contact your admin or support team to request access.
